Operator Tee Sheet Guide
For SwingFirst golf operations staff. Last updated August 2026.
Overview
The SwingFirst operator tee sheet is your real-time view of every tee time across all SwingFirst courses. It syncs automatically with Quick18 every few minutes, pulling bookings, player names, rates, and check-in status.
Because the sheet reflects Quick18 as the source of truth, changes made directly in Quick18 will appear here within one sync cycle. Changes made here — check-ins, blocks, consolidations — are stored in SwingFirst's own database and displayed on top of the synced data.
Booking creation and cancellation still happens in Quick18. The operator sheet is for day-of management: moving players, checking in, blocking times, and reading member data.
Player Cells
Each booked cell shows the player's name, any membership badges, and the price they paid. The background color indicates group size.
Group color coding
Players who are part of the same Q18 reservation share a background color. A solo booking is white. A twosome is light yellow. Three or four players in one reservation shift to a slightly deeper shade. This lets you instantly see which players belong together when multiple bookings share a tee time.
Corner triangle
A small colored triangle in the bottom-right corner of a cell reflects the color that Quick18 assigned to that reservation. It matches what you'd see on the Quick18 tee sheet and has no operational meaning beyond visual grouping.
Consolidation arrows
An up (↑) or down (↓) arrow badge means this player was moved to this tee time from an earlier or later slot during a consolidation. It's a reminder that the original booking was at a different time.

Membership Badges
Badges appear directly below a player's name in their cell. They are pulled from the membership code Quick18 embeds in the booking, as well as from the player's full booking history. A player may show more than one badge if they hold multiple card types.

If a player shows more than one badge, the first badge (leftmost) reflects the rate code used for this specific booking. Additional badges are from their booking history — they hold those cards too, but didn't book under them today.
Player Tooltip
Hover over any booked player cell to open the tooltip. It shows everything relevant about that player and their booking without opening any screen.

| Current rack | Today's rack rate for that slot. Only appears if it differs from the locked rate. |
| SF rate | For SwingFirst cardholders only: the correct rate to charge, calculated as 15% off the locked rate. |
| Status | "Checked In ✓" if the player has checked in. "Paid" if confirmed but not yet checked in. |
| Cards | Any other membership cards on file for this player across their full booking history, beyond the one used today. |
DIA (Days In Advance) is how many days before the tee time the booking was made. For SwingFirst cardholders, a DIA of 7 or more is required for the SF rate to be valid.
The tooltip for Jeffery Beason, a SwingFirst cardholder (SF26). The SF badge appears next to the player's name in the header. The lower section shows rate, price paid, WRF fee, and payment status.
Adding Players
Click the + in any open player position to open the Add Player modal. Fill in the player's name, rate, and price, then save. The new player will appear in that position immediately.
The name field has autocomplete — start typing and matching names from past bookings will appear, along with their membership badges. Selecting a name fills in the name field; it does not auto-fill the rate (staff should confirm the correct rate applies for that day).
Moving & Copying Players
Drag and drop
Drag a player cell to any other tee time to move them. If the player is in position 1 (lead), dragging will prompt you to choose whether to move just that player or the entire booking group.
Moving multiple players
Hold Ctrl and click to select multiple players within the same tee time, then drag the group to a new slot.
Copying instead of moving
Hold Cmd while dragging to copy a player to the destination rather than moving them. The original remains in place.
Cut / Copy / Paste via right-click
Right-click any player cell to access the context menu. You can cut, copy, or paste players. After copying, right-click any open slot and choose Paste to place the player there.
When players share a booking (same Q18 reservation color), moving the lead player will offer to move the whole group together. Use this when a party needs to be bumped to a different tee time.
Checking In
Right-click a player and select Check In. Their cell will update to reflect checked-in status and the tooltip will show "Checked In ✓".
To undo a check-in, right-click and select Undo Check-In.
Check-in status is stored in SwingFirst and does not write back to Quick18.
Editing a Booking
Right-click a player and choose Edit to open the edit booking screen. From there you can update the player's name, rate type, price, and notes.
The name field in the edit screen has the same autocomplete as the add screen — type to search past players by name. Results show "Last, First" and display their membership badges.

Cancelling a Player
Right-click a player and choose Cancel. You'll be asked to confirm. The player is removed from that position and the slot becomes open again.
Cancellations in the operator sheet are local to SwingFirst. If the booking also needs to be cancelled in Quick18, that must be done separately in Quick18.
Blocking Tee Times
Blocking a single tee time
Right-click any empty tee time row and choose Block. A modal will appear where you can add a label (e.g. "Aeration", "Tournament Hold"). Save to apply the block.
Bulk blocking
To block a range of tee times at once, hold Ctrl and drag across the time column to select multiple slots. A selection bar will appear at the bottom of the screen showing how many slots are selected. Click Block Selected to block them all in one step with a shared label.
Unblocking
Right-click a blocked slot and choose Unblock.
If a tee time is blocked in Quick18, it will appear as blocked here automatically on the next sync. Blocks created in the operator sheet are independent of Quick18.
Rack Rate & Pricing
Current rack rate
The rack rate shown in the left column of each row is the current price for that tee time as of the last sync. It may change between syncs if you've updated pricing in Quick18.
Locked rate
When a tee time is booked, the rack rate at that moment is locked to that booking and never changes. This is the rate that governs all discounts for that booking, regardless of what the rack rate is today.
You can see the locked rate and the current rack rate side by side in the player tooltip when they differ.
SwingFirst cardholder rate
For any player with an SF badge, the tooltip shows an SF rate — calculated as 15% off the locked rate. This is the correct rate to charge that player. The discount applies individually: only players in the group who are SF cardholders receive it.
A tee time was booked at $45. The rack rate today is $38 due to dynamic pricing. An SF cardholder in that group should be charged $45 × 0.85 = $38.25 — based on the locked rate, not today's rack.
Consolidation
Consolidation is the process of moving sparse bookings earlier or later in the day to free up blocks of consecutive open tee times. It's typically done in the morning before the course opens.
When a player has been moved via consolidation, a small arrow badge appears on their cell — ↑ for moved earlier, ↓ for moved later. Hovering the tooltip will show "Moved earlier" or "Moved later" in the Note row.
Consolidation is done manually using drag-and-drop. There is no automatic consolidation.
Customer Drawer
Click Customers in the left navigation to open the customer drawer. Type at least two characters to search by name — the drawer searches first name, last name, and email simultaneously.
Search results show each matching player's total play count and membership badges. Clicking a result opens their full profile, which includes:
- Contact info — email and phone (displayed as +1 (xxx) xxx-xxxx)
- Booking history — every round recorded in SwingFirst since April 2026, with date, course, and time
- Play Patterns — per-course breakdown, day-of-week distribution, and morning vs. afternoon preference
- Notes — staff notes attached to this customer (allergies, VIP status, accessibility needs, etc.)
The drawer is read-only. To edit a customer record, use the Customers page.
Play Patterns
The Play Patterns section appears in every customer profile. It shows bar charts for which courses the player frequents most, which days of the week they typically play, and whether they prefer morning or afternoon tee times.
If a player's history predates April 2026 (when the SwingFirst system launched), the section notes that no local breakdown is available but shows their total lifetime Quick18 reservation count.
If a player at the window claims to have an SF card but it doesn't show on today's booking, search for them in the Customer drawer. Their historical membership types will appear, which can help confirm whether they've held that card before.
Customers Page
The Customers page is a standalone management view listing every player who has ever booked at a SwingFirst course. It opens in a new tab from the tee sheet navigation bar.
Unlike the tee sheet drawer (read-only), the Customers page lets you view and edit customer records directly.
Searching
The search bar filters by first name, last name, or email. Several formats work:
- First name only — "kathy"
- First + last — "kathy transeth"
- Last, First — "transeth, kathy" (the comma tells the system to search last name first)
- Email fragment — "swingfirst.co"
Editing a record
Click any row to open the edit modal. You can update the player's name, email, phone, and notes. Changes are saved immediately to the database and are visible everywhere — in the Customers page, in the tee sheet drawer, and during player search on the tee sheet.
Phone numbers are displayed in +1 (xxx) xxx-xxxx format regardless of how they were originally stored in Quick18.
Notes
The Notes field in the Customers page and the Notes shown in the tee sheet customer drawer are the same field — editing one updates the other instantly. Use notes for anything relevant at check-in: allergies, accessibility needs, VIP status, billing preferences, etc.
Play Patterns
The edit modal also shows the player's Play Patterns — the same per-course, day-of-week, and morning/afternoon breakdown shown in the tee sheet drawer. This data is computed live from booking history and cannot be edited.
Shadow players
Some regulars appear on your courses frequently but have never created their own Quick18 account — they've always been added to bookings by another player. These shadow players now appear in the Customers page with a note indicating they have no Q18 account.
Shadow player records are generated automatically from booking history. They may have no email or phone on file (since they never registered with Quick18), but you can add contact info manually via the edit modal.
If a regular shadow player gives you their phone number or email at the window, add it to their record via the Customers page edit modal. It will then appear in the tee sheet drawer and search results going forward.
Sync & Data Freshness
The sheet syncs with Quick18 automatically every few minutes. The sync pulls today's and tomorrow's tee sheet for every course simultaneously.
To force an immediate refresh, use the Reload button in the top bar.
Pausing sync for a facility
Each facility can have its sync paused independently. This is useful during system maintenance or if you need to prevent Quick18 data from overwriting local changes temporarily. The pause toggle is available in the settings area. Paused facilities are noted in the sync log.

Player name cleanup
Quick18 occasionally stores player names with an asterisk suffix (e.g., "Kathy*"). SwingFirst automatically strips these when data syncs, so names always appear cleanly. Existing records with asterisks have been cleaned retroactively.
